CAMM ADMINISTRATOR

The Council of American Maritime Museums is a trade organization that supports the welfare, programs, and activities of maritime museums in North America. The organization works to ensure that thehighest professional standards are followed in the preservation and interpretation of maritime history, encourages cooperation between member institutions, and advocates on behalf of maritime museums.

POSITION OVERVIEW

The CAMM Administrator is an independent contractor who facilitates and enhances the performance of CAMM’s Board by providing administrative support, fosters communication among the CAMM Board and the membership of CAMM. The Administrator assists in growing CAMM’s membership through outreach, recruitment, and improved levels of service. Most importantly, the Administrator assists in and directly supports the planning and execution of an annual conference. Between conferences, the Administrator disseminates industry-wide communications, administers CAMM’s task agreements with the National Park Service, and carries out programs as directed by the CAMM Board.

QUALIFICATIONS

The CAMM Administrator must have competence with word processing, spreadsheets, WordPress website maintenance, social media platforms and videoconferencing technologies and must be able to maintain CAMM’s registration with Federal grant portals.

REQUIREMENTS

  1. Coordinates communications among board members: initiates and schedules conference calls and meetings, participates in meetings, ensures that board members are engaged and up to date.
  • Grows CAMM membership, with board assistance and guidance. Assists with the processing of membership applications and new members once enrolled. Distributes CAMM Privilege Admission Cards to member institutions.
  • Supports Treasurer by managing annual dues invoicing and receipts and maintaining the membership dues status database. Ensures Treasurer receives all connected financial data. Files necessary IRS tax forms, usually electronic Form 990-N.
  • Facilitates, prepares, manages and supports the annual conference as primary contact for board, host, program committee, collaborating organizations and participants. Attends the annual conference and board meetings. Conference preparation includes distributing and collating calls for proposals, confirming presentation status to presenters, preparing registration form; invitation emails; registration confirmation emails; assisting host with their preparations and publicity; answering emails from attendees/presenters; preparing preliminary program, registration packets, name tags, etc. Distributes registration status information and maintains and distributes registration financial data to the board and host.
  • Maintains CAMM’s up-to-date status with Federal SAM.gov and ASAP.gov sites to ensure seamless flow of funds from Federal grants, etc. Submits all necessary reports in this connection to Grants.gov website. Provides supporting material to the Treasurer to justify distribution of funds from grants, etc. to contractors and maintains a database of information to issue IRS Forms 1099-NEC on time to contractors.
  • Disseminates information from and for CAMM members through emails and CAMM’s website for CAMM News Blog. Maintains CAMM’s website with WordPress, updating pages and posts. Maintains the CAMM social media presence.
  • Develops and maintains a mailing list and directory of maritime museum professionals (more extensive than the designated representatives of each member institution).
  • Manages the content of the CAMM website, including updating membership directories, maritime resources, annual conference, membership, and other pages.
  • Serves as primary contact point for CAMM inquiries, referrals and other communications.
  1. Monitors issues pertinent to CAMM membership and keeps board and members informed.

The Administrator is not a CAMM employee, but a contractor, without any deductions for taxes, insurance, or any other standard payroll deductions. IRS Form 1099-NEC will be supplied by the Office of the CAMM Treasurer. The administrator works remotely and must provide hardware and internet access. Office supplies and other approved expenses are reimbursable. The contract will be annual, renewable at the Board’s discretion.

Administrator will participate in all CAMM board and membership meetings as a non-voting advisor to the Board.

Both the CAMM Board and Administrator will have the right to terminate the contract upon thirty (30) days’ notice to the other party.

The scope of work typically requires about 500 hours per year, but that time is not evenly distributed, as periods of activity revolve around year-end, conference planning early in the calendar year, and conference execution in spring.
